Manage Users

The Users menu allows to manage the users of the platform and set one or more Organizations which contain:

  • Departments
  • Grades
  • Reporting structure
Groups are also available as informal groupings or categories of users.

To access the Users menu, follow the steps below:

  1. On the Quick edit bar, click Users.
  2. The Users menu will be displayed. There are menu options on the left
    • Setup Organizations
    • Setup Groups
    • Setup Users

From here, you can perform many configurations for users and organizations. See the following sections for more details.

Setup users

Before you begin creating apps and designing workflow processes, it is ideal to setup the organization chart first.

The Setup Users menu displays the users list and allows you to edit or delete any. To do so, follow these steps:

  1. Click Setup Users to display the user list.
  2. Click on the user you wish to edit.
  3. In the following menu, there will be four buttons on the top:
    • Edit User: This allows you to edit the user's information, role, and details.
    • Delete User: Deletes the selected user.
    • Assign Report to: This option lets you assign who this user reports to.
    • Assign Groups: Associate this user with one or more user groups.

Note:

  • To assign users permissions for building and editing apps, set their "Role(s) = admin" in Setup Users. These users will then have access to the Administration Bar
  • Integration with external directory systems like LDAP or Active Directory is available via plugins. You can configure this by selecting Directory Manager Settings after clicking on the Settings button in the Admin Bar.

Setup groups

The function of Groups is to help categorize a user's working roles within your setup. While this sounds fairly similar to Departments, there is a distinct difference between the two, not only in semantics but in functional purposes.

The main differences between Groups and Departments are:

  • A group represents a functional purpose. Thus, a user can belong to many groups but can only belong to one department.
  • Groups are usually agnostic from an organizational structure viewpoint. Let's say, for instance, that an organization has ten departments, each with a secretary. In this case, the Secretary would be a group in itself, and the members of the Secretary group would all belong to different departments.

In short, Departments represent a user's placement within an organizational chart, and Groups represent the various functions a user might carry out.

To manage groups, follow the steps below:

  1. Click Setup Groups to display the groups list.
  2. You can click Create a new group or edit an existing one by clicking on it.

Each group created can be tied to a specific organization, although not necessarily so. As mentioned, a user can belong to multiple groups; unless restricted, a group can have members spanning several organizations.

Setup organization chart

You can categorize your users by organization, and each one can belong to a specific department of a specific organization. This will ultimately help streamline your process participants when your user list grows.

Organization

To manage your Organizations, follow the steps below:

  1. Click Setup Organization Chart to display the organizations list.
  2. You can click Create New Organization or edit an existing one by clicking on it.


Department

To manage your Departments, follow the steps below:

  1. Click Setup Organization Chart to display the organizations' list.
  2. You can click Create New Department or edit an existing one by clicking on it when Creating an organization.


  • A Department belongs to only one Organization if both the ID and Name is the same.
  • A Department may contain sub-departments.
  • A user can be tied to one or more department.

Grade

To manage your Grades, follow the steps below:

  1. Click Setup Organization Chart to display the organizations' list.
  2. You can click Create New Grade or edit an existing one by clicking on it when Creating an organization.


Grade is another useful attribute to distinguish/assign to user.

  • A grade belongs to only one organization.
  • A user can only be tied to one grade.
